Administration of the Conference
1. With advice and assistance from the IBA Treasurer and the Executive Board, contract host site and facilities for the annual IBA conference in May.
2. Communicate any changes in Conference Registration Fees, District Luncheon Ticket prices, and/or Banquet Ticket prices to the IBA Secretary by December 1st.
3. Select and contract clinicians, performing groups, and keynote speaker for the Conference. Attend Midwest clinic when possible. Utilize corporate sponsorship to offset expenses when possible.
4. Organize and schedule all events of the IBA Conference.
5. Select menus for the IBA summer meeting luncheon, the IBA Conference district luncheons, and the IBA Friday night banquet. The president will also serve as master of ceremonies at the banquet and assign other banquet duties to IBA members as necessary.
6. Direct the President-elect to organize and collect the audition tapes or CD’s of potential conference performing groups and select bands according to the IBA resolutions.
7. Submit an IBA Conference schedule to the magazine editor by the March Conference Magazine deadline for inclusion in the IBA Magazine Conference issue.
8. Supply pictures and information concerning conference clinicians, performing groups, speakers, etc. to the IBA magazine editor no later than the March Conference Magazine deadline.
9. By the March IBA Magazine deadline, communicate with the Conference Equipment chair(s) a complete schedule of the conference including contact information for all bands and clinicians. Instruct Equipment Chairs to contact all bands and clinicians to determine their needs.
10. Present the president-elect with the IBA president plaque at the IBA Conference Saturday morning business meeting.
11. Present preceding IBA president with the IBA president’s pin at the IBA Conference Saturday morning business meeting.
12. Secure recording contract for conference.
13. The IBA membership fee, conference fee, two banquet tickets, and lodging are supplied by
the IBA.
Administration of the Corporation
1. Oversee the operations of the Iowa Bandmasters Association.
2. The IBA president must be familiar with the IBA resolutions.
3. Appoint IBA committee chairs when terms expire, or vacancies occur.
4. Schedule and organize November meeting at the All-State Music Festival and IBA Conference business meeting of the Board of Directors. The president shall serve as chair and prepare a report that is submitted at each one of these business meetings.
5. Schedule and organize a summer planning meeting and/or work session. The summer meeting will be an official meeting for the Executive Board. However, this meeting may or may not be an “official meeting” for the entire Advisory Board. If it is, then notice must be given to the public at least two weeks before, and reports must be called for. If not, then notice is not required nor are reports.
6. Submit four articles for the summer, fall, winter, and Conference issue of the IBA Magazine by the respective deadline date for each issue.
7. Submit information for the President’s Fall Newsletter no later than the last week of July to the publisher with guidance from the Magazine Editor. Submit a brief letter to the membership, edited page explaining membership and dues (change dates and change/add any new details), announcements, and current membership forms for other state music organizations (eg. IMEA, JEI, IAAE).
8. Attend meetings of the IMEA Board of Directors as an advisory member or appoint an IBA representative.
9. Attend meetings of the IAAE Board of Directors as an advisory member.
10. Sign or give email approval of payment vouchers organized by the IBA Treasurer.
11. Update the treasurer monthly on conference progress and anticipated expenditures. Include President Elect in this communication.
12. President will send Committee List to the Secretary for Review and President will send Fall Newsletter to Secretary and Director Of Communications by August 5 for Review.
13. This office receives an honorarium contingent on the total IBA Conference running in the black.
